Community guidelines & code of conduct
Community Guidelines.
The standards that keep Hein Tutoring respectful, honest and safe for every learner, parent, and teacher.
Section I: For students and pupils
As a student or pupil at Hein Tutoring, you belong to a community of teachers and learners from schools across Uganda. You are expected to show respect, integrity and focus in every virtual and physical learning setting.
1.1 Technical readiness and account setup
- Hardware and connectivity: keep access to a reliable smartphone, tablet or computer and a stable internet connection so you can take part in live online classes.
- One personal email: use the same personal email address on every official platform, including other learning platforms and tools we introduce.
- Know the platform: explore the Hein virtual learning platforms and tools early so lessons run smoothly.
1.2 Academic honesty and curriculum compliance
- Your own work: assignments, continuous assessment tasks and practical projects must reflect your own effort. Plagiarism and copying from classmates are strictly prohibited.
- On time: submit continuous assessment tasks on time, at Primary, O'Level and A'Level, so tutors can give timely feedback.
- Genuine practice: take part honestly in UNEB-style question approach exercises and mock assessments, without unauthorised help.
1.3 Virtual class conduct and focus
- Be on time: join online sessions at least 5 minutes before they start. Switch your camera on when asked, sit in a quiet, well-lit place, and keep your microphone muted unless called on.
- Use your real name: display your official full name as registered with Hein Tutoring on Zoom, Google Meet, Google Classroom and similar platforms.
- Stay on task: use the chat for academic questions, teacher prompts and constructive discussion. No gaming, social media or non-educational phone use during class.
1.4 Behaviour and respect
- Treat everyone with dignity: tutors, administrators and fellow students. Cyberbullying, offensive language and harassment lead to immediate suspension.
- Physical lessons: arrive on time, respect household property and follow the safety rules that have been set.
Section II: For teachers and tutors
Hein Tutoring educators are experienced professionals from leading schools nationwide. Tutors are mentors and academic facilitators who keep high instructional standards, communicate clearly and protect children at all times.
2.1 Professional conduct and teaching standard
- Make it simple: explain complex Primary, O'Level and A'Level topics in clear, structured and engaging ways.
- Be punctual and reliable: start and finish every online, physical and private lesson on schedule. If an emergency forces a reschedule, tell administration and parents at least 12 hours ahead.
- Keep boundaries: maintain clear, professional and ethical teacher-learner boundaries on every digital platform and in every physical setting.
2.2 Curriculum alignment and assessment
- Follow the curriculum: align teaching with the revised UNEB and NCDC Primary Curriculum, the Lower Secondary Competency-Based Curriculum (O'Level) and the Advanced Secondary (A'Level) Curriculum.
- Guide, do not do: support learners through practical projects and continuous assessment rubrics without completing tasks for them. Online, this may be done through simulations.
- Timely feedback: grade and return continuous assessments within 5 working days, with constructive feedback and coaching on UNEB question approaches.
- Use technology well: bring in interactive whiteboards, virtual science simulations and digital quizzes, and use appropriate AI tools where they help learning.
2.3 Child safeguarding and safety
- Safe physical settings: private home sessions take place only in open, designated areas such as a living room or study area, with a parent or adult guardian on the premises for the whole lesson.
- Data privacy and channels: all official online communication goes through approved Hein Tutoring channels. Recording or sharing learners' personal media outside official academic channels is strictly prohibited.
2.4 Ministry of Education and Sports (MoES) code of conduct
Every educator at Hein Tutoring must follow the Teachers' Professional Code of Conduct set by the Ministry of Education and Sports and enforced through the Education Service Commission. That includes professionalism and competence (punctuality, professional dress, lesson preparation), learner-centred care and non-discrimination, integrity and honesty (no exam malpractice or record forgery), confidentiality, and financial integrity (no unauthorised collection of money from parents or learners).
Hein Tutoring has zero tolerance for the serious offences defined by MoES. Sexual misconduct or harassment, examination malpractice, chronic absenteeism or desertion, corporal punishment or physical violence, reporting for duty intoxicated, and gross negligence that harms a learner lead to immediate termination of the contract and referral to the statutory authorities or the MoES Professional Conduct Committee.
Section III: For parents and guardians
Parents and guardians are key partners in a learner's success. Your support provides a good learning environment, proper supervision and smooth communication with us.
3.1 Home learning setup
- A study space: a quiet, comfortable, well-lit and distraction-free place for virtual classes and private tutoring visits.
- Technology: a working smartphone, tablet or laptop, a stable internet connection and the required learning supplies before class.
- An adult present: a parent or authorised adult relative must be in the household for the whole of any physical private lesson.
3.2 Supervision and independence
- Watch participation: check regularly that your child attends on time and completes assessments and projects.
- Encourage independence: help with project materials, but let your child do the work so the skills are really theirs.
- Follow progress: review progress reports, assessment marks and tutor feedback shared through official Hein Tutoring channels.
3.3 Fees and official communication
- Flexible schedules: keep to the agreed payment plan, whether weekly, monthly, termly or yearly instalments, as set out in your enrolment.
- Official channels only: pay fees only through Hein Tutoring's official merchant accounts, Mobile Money merchant lines or bank accounts. Never pay cash to an individual tutor.
- Talk to management: send schedule changes, feedback and billing questions to Hein Tutoring through the official support channels.
Section IV: Compliance and disciplinary measures
To protect the integrity and safety of our community, breaches of these guidelines are handled through a progressive system.
| Level | What counts | What happens |
|---|---|---|
| Level 1: Minor notice | Unexcused lateness, an improper screen name, off-topic chat, or minor assignment delays. | A formal verbal or written note to the student and parent, with guidance on putting it right. |
| Level 2: Formal review | Repeated minor breaches, academic dishonesty (plagiarism), fee defaults, or a tutor failing to deliver on time. | Temporary suspension from the platform and a required review meeting with the parent and tutor. |
| Level 3: Termination | Severe misconduct, cyberbullying, a child safety breach, a MoES code violation (such as exam malpractice or harassment), or non-payment. | Enrolment or tutoring contract ends immediately, with referral to MoES or other authorities where necessary. |
