Privacy Policy
Last updated 1 November 2026.
Hein Tutoring respects your privacy, and especially the privacy of children. This policy explains what we collect, why, who can see it, and the choices you have. We handle personal data in line with Uganda's Data Protection and Privacy Act, 2019.
1. What we collect
- Account details: full name, username, email, phone number, role (parent, student or teacher), password (stored in scrambled form, never readable), and for students a student code.
- Learning activity: the programs and classes you belong to, and the posts and files shared in those classes.
- Family links: which parent is linked to which student.
- Payments: the payer's name, email and phone, the Mobile Money number charged, the reason (which may contain a student code), the amount, and the result. We never see or store your Mobile Money PIN.
- Book orders: your name, phone, optional email, delivery location, and any note you add.
- Messages: what you send through our contact form.
- Security records: the time, IP address and device details of sign-in attempts.
2. Why we use it
- To run accounts, classes and programs, and to let tutors teach the right learners.
- To take payments, match them to the right student, and send receipts.
- To contact you by SMS or email about classes, fees, orders and important notices.
- To keep the platform and children safe, and to detect misuse.
- To answer your questions and improve our services.
3. Who can see it
- Hein Tutoring staff who need it to run the service.
- Teachers can see the names of members of the classes they teach. Students and parents cannot see class member lists.
- Service providers who help us operate: a payment provider (Relworx) for Mobile Money, an SMS provider (PhiloSMS) for text messages, and our email and hosting providers. They receive only what they need to do their job.
- Authorities, where the law requires it or to protect a child.
We do not sell personal information, and we do not use it for third-party advertising.
4. Children
Many of our learners are under 18. Their accounts should be created with a parent or guardian's knowledge and consent, and parents can link to their child's account to follow classes and payments. Tutors must not record or share a learner's personal media outside official academic channels. If you believe a child's information has been handled wrongly, tell us straight away.
5. How long we keep it
We keep information for as long as an account is active and for as long afterwards as we need it for records, payments, safety and legal reasons. Deleted accounts are removed from normal use, and some records may be kept where the law or a dispute requires.
6. Keeping it safe
We use passwords that are scrambled, secure connections, role-based access, and private storage for class files. No system is perfectly secure, so please use a strong password and keep it to yourself.
7. Your rights
You can ask to see the personal information we hold about you, to correct it, and, in many cases, to have it deleted or to object to how it is used. You can change your name, phone number and password yourself in your profile. For anything else, write to info@heintutoring.com. If you are unhappy with our response, you may complain to the Personal Data Protection Office in Uganda.
8. Cookies and third-party content
See our Cookie Policy. Our pages load fonts from Google Fonts and some site files from a public content network, which can see your IP address when your browser fetches them.
9. Changes
We may update this policy. The date at the top shows the latest version.
